How To Easily Manage Your Virtual Assistants Using Asana

Eric Evenstad • June 17, 2018

I've always loved the idea of outsourcing my low value, repetitive tasks, but for many years I struggled to find success with outsourcing.

It would always go like this... First I'd hire a virtual assistant (really anybody would do), then they'd start working on a few simple tasks. Things would be going well until all of the sudden they would stop working and completely disappear.

This happened to me 3 or 4 times. So I started to do some research and here's what I found out...

Disappearing virtual assistants is not uncommon. In fact, it happens all of the time. Virtual Assistants don't want to disappoint you and typically they are afraid to ask for help or say "I don't understand" - it's just a cultural thing, especially if you're hiring in the Philippines. So if you give your VA a task that they don't understand they will quite often disappear - especially if it's a new relationship and you haven't built up a certain level of trust.

Here's the good news... there's a solution to the disappearing virtual assistant problem.

The key to keeping your VA happy, engaged, and working hard for the long run is to communicate clearly and regularly. You need to clearly explain the tasks that you give them by recording screen tutorial videos, taking screenshots, or writing VERY detailed instructions. You also need to make it very known that you don't expect them to know how to do everything and that you want them to ask for help.

So what does Asana ( www.asana.com ) have to do with all of this?

Well, Asana is a project management tool that allows you to very easily communicate with your VA's, delegate tasks, attach documents, set deadlines, and much more. It's the tool that we use to manage all of our virtual assistants. It's easy to use, it's completely free, and it will make your VA feel like they are part of the team.

Ever since I started using Asana, my outsourcing efforts have dramatically improved. In fact, I haven't had a single virtual assistant disappear on me because I've improved my communication and delegation skills using Asana.

So in this video, I show you how I use Asana. I talk about how I manage different projects, delegate tasks, attach files, set deadlines, and more.
